A professional organization.Hundreds of members. Scattered systems. One technology partner.

About the organization.

Illustration only — not the client's architecture

A professional organization with hundreds of members ran a website, mailing, payments, forms and automations built over the years by different vendors. Nobody held the whole picture.

We came in as its ongoing technology partner — mapping, consolidating, automating and monitoring, alongside the website, campaigns and content. The organization stays anonymous.

The decisions.

01

Understand before changing

Join the team, learn how the work really happens, map what already exists — and only then change anything.

02

Fix the past before building the future

An audit of the tools and automations that had piled up exposed silent failures and security gaps. We dealt with them before expanding.

03

Automation existed, it just was not good enough

We did not rebuild most of it from scratch. We improved what was working, consolidated what was duplicated, and cut what it cost to run.

04

Everything is monitored

Every process moved to automation got monitoring and alerts. Things break; the question is who finds out first.

What changed.

Measured results

The numbers were measured from the work itself, and are phrased so they do not identify the organization.

The training track

PROOF 01 · MEASURED

A course a sizable share of the members must complete, several cohorts a year, dozens of touchpoints — registration, payment, reminders, certificate and renewal, within the spam law. The loop runs almost by itself, at a cost of under $30 a month.

The monthly report

PROOF 02 · MEASURED

The monthly report was a two-hour process at the start of every month, inconsistent and uneven. A method and fitted technology turned it into a 30-45 minute process, stable and uniform.

The monitoring

PROOF 03 · MEASURED

Monitoring was deployed over everything: automations, systems, the website, social and analytics. Once, it caught a member who had not been billed for 275 days.

The time

PROOF 04

Over 100 hours of manual work a year came off the team.

What we manage
